Registration Steps

4. Read the Adult Background Check FAQ Sheet, then download the Background Check Verification Form and/or Adult Disclaimer Form as needed – any adult who hasn’t been checked prior to the event will have to bring the Disclaimer Form or sign one upon your arrival.

Deposits


  • A deposit of $50 per person must be paid to reserve space at a MOVE event. Space will not be held without a deposit. Additional registrants cannot be added to a group’s registration over the phone or by fax. The $50 deposit is part of the total price of the event. If an event has an Early Registration rate of $259, after the deposit of $50/person is paid, a balance of $209 would be owed for each registrant in the group as long as:
    1. Deposits were postmarked/processed (see below) more than 30 days prior to the start of the event.
    2. Full payment is made at least 14 days prior to the start of the event.
  • Deposits are refundable until 30 days prior to the beginning of the event (for an event beginning June 14, 2010 the deposit is refundable until May 15, 2010, on May 16, 2010 deposits are no longer refundable, cannot be applied to the group balance, or transferred to another group).
  • Deposit refunds will be made by transferring funds paid to the remaining balance of the group, transferring funds to a future event, or returning funds to the group if no remaining balance exists.
  • In the event a group must cancel their registration entirely, and does so prior to 30 days before the event begins, the deposits can be refunded by transferring the funds to another CIY event or will be sent back to the group.
  • In the event that a group must cancel their registration entirely, and does so less than 30 days prior to the start of the event, but more than 14 days prior the start of the event, the $50 deposit paid on each space registered for will be retained by MOVE.
  • Less than 30 days prior to the start of the event, deposits are non-refundable, cannot be applied to the group balance or transferred to another group.

Pricing

  • Pricing for all events except FL and NV include 5 nights lodging, 12 meals, and programming for the week.

  • Every registrant (group or individual additions to a group) who registers at least 30 days prior to the start of the event and is paid in full no less than 14 days prior to the start of the event will receive the Early Registration price listed for the event.
  • Every registrant (group or individual additions to a group) who registers less than 30 days prior to the start of the event and is paid in full no less than 14 days prior to the start of the event will receive the Regular Registration rate, which is $35/person more than the Early Registration rate.
  • Every registrant (group or individual additions to a group) who registers less than 14 days prior the start of the event will pay the Late Registration rate, which is $60/person more than the Early Registration rate.
  • Regardless of when a group registers or an individual addition is made to the group, every registration not paid in full at least 14 days prior the start of the event will pay the Late Registration rate ($60/person more than the Early Registration rate).
  • Additional students or adults can be registered at any time (if space is available). Those registered less than 14 days prior to the start of the event must pay the Late Registration or Late Saver rate (see details on Saver rate pricing below).

Saver Pricing

  • All new registrants for MOVE are eligible for the Super Saver price of $199/person if registered at least 30 days prior to the start of the event and paid in full no less than 14 days prior to the start of the event.
  • New registrants are either:
    1. Churches that have not attended MOVE in the last three years (did not attend in 2007, 2008, or 2009) or
    2. Registrations in addition to the church’s previous MOVE attendance total (a group that brought 20 the previous year – 2007, 2008, or 2009 – they attended and bring 25 in 2010 is eligible to receive 5 registrations at Saver rates).
  • Every new registrant (group or individual additions to a group) that is eligible for Saver pricing registered less than 30 days prior to the start of the event, but paid in full no less than 14 days prior to the start of the event will receive the Regular Saver price of $234.
  • Every new registrant (group or individual additions to a group) that is eligible for Saver pricing registered less than 14 days prior to the start of the event will receive the Late Saver price of $259.
  • Every new registrant (group or individual additions to a group) that is eligible for Saver pricing, but is not paid in full at least 14 days prior to the start of the event will pay the Late Saver rate of $259.
  • Discount offers do not combine.

Full Payment

  • Payment in full for all students and adults must be postmarked or processed through online registration at least 14 days prior to the start of the event. All Payment In Full deadlines will fall on the Monday two weeks prior to the event, this includes events that start on Sunday (in that case, the payment is actually due 13 days prior to the start of the event).
  • Any registrant not paid in full by 14 days prior the start of the event will pay either the Late Registration rate or if considered a new registrant the Late Saver rate.
  • For groups that have paid more than the $50 deposit, but have a balance remaining after the 14-day deadline, MOVE will apply the Late Registration or Late Saver rate (according to the terms of the MOVE registration policy) relative to the total amount due. For every $200 that is outstanding, MOVE will apply the Late Registration or Late Saver rate (according to the MOVE registration policy) to 1 person in the group.
  • The full registration fee will be due to MOVE for any space a group has registered for and is still holding at 14 days prior to the start of the event. This means that if a group does not cancel unneeded space, but does not pay the balance on some portion of their group registration, the full amount – at the Late Registration or Late Saver rate (according to the MOVE registration policy) – will be due to and retained by MOVE.
  • Any balance not already paid prior to the start of the event must be paid upon arrival at the event and will be charged at Late Registration or Late Saver rates according to the terms outlined in the MOVE registration policy. Any additional fees owed to MOVE will be invoiced to the church.
  • No refunds or transfers will be made after payment in full is due (14 days prior to the start of the event). If a group reduces its total registration count after full payment is due (whether full payment has been made or not), the full amount will be due to and retained by MOVE. (If a group registered and paid for 20 people, but arrived at the event with 18 the group would not receive a refund for the two that did not come to the event unless the space was released according to the deadlines in this policy.)
  • In the unfortunate event that a group must cancel their registration entirely less than 14 days prior to the start of the event, the full amount will be due to and retained by MOVE. If the group has not yet paid that balance, Late Registration or Late Saver rates (according to the MOVE registration policy) will be applied and the group will be invoiced.

Communication

  • MOVE will NOT adjust the number of people a group is registered for based on a payment amount. A group wishing to decrease their total registered must clearly indicate that intention in writing or over the phone. A group wishing to increase their total count must do so in writing (not over the phone) and provide required payment at the same time (an addition will only be made when accompanied by the associated deposit or full payment, whichever is due at that date relative to the start of the event).

Full Events


  • If an event is full, additional groups wishing to register or groups already registered and wishing to add to their total registration will be placed on a waiting list for that event in the order the physical registration is received in the mail. No online processing is available once an event is full.
  • A deposit check must be received to be placed on the waiting list, but will not be cashed until the person(s) are added to the event. The order of placement on the waiting list will be based on the postmark date of deposit checks sent for those wishing to be added to the full event.
  • If the person(s) does/do not get into the desired event the deposit will be returned, can be applied to another event or can be applied to the balance due for the rest of the group if any.
  • Groups wishing to register after an event is full will be notified that the event is full and given the option of selecting another MOVE event.
  • Groups wishing to add to their total registration at an event that is full may opt for the entire group to attend a different MOVE event where space is available until 30 days prior to the start of the event they registered for originally. Less than 30 days prior to the start of the event the group originally registered for, an event change will not be possible.
  • If a group opts to transfer to a different MOVE event (see restriction above), the pricing for the event will be the pricing of the event the group actually attends.
  • Determination of late fees due will be based on the start date of the event the group actually attends.
  • Event changes will have no impact on a group or portion of a group being eligible for Saver pricing rates.

Changes

  • In order to efficiently prepare housing assignments and other important components of your MOVE event, the total number of people in the group will be considered final as of 14 days prior to the start of the event, and the total number of males and females will be considered final at that time.
  • Any change that results in an increase in the total number of males or females less than 14 days prior to the event will result in a $50 flat fee (per occurrence, not per person). This is in addition to any registration fees or late fees that would be associated with an overall increase in group size.

Other Items

  • Any refunds due will be sent to the church after the conclusion of the event.
  • MOVE reserves the right to review the handling of a group’s registration and payments to ensure that it is in accordance with MOVE’s registration policy within 14 days of the conclusion of the event. If it is found that an error was made prior to the event or during onsite registration, a revision of the billing information will be made and sent to the church. If the group has paid more than it should have according to MOVE’s registration policy and pricing, a refund will be sent to the church. Likewise, if it is found that a church has been billed less than is due under the MOVE registration policy a revised billing statement will be sent to the church.
  • MOVE does not accept credit cards or debit cards as a form of payment due to the processing costs. However, MOVE does offer free online payment processing using e-checks.
  • MOVE will no longer offer any free registrations to churches that have been in existence less than 5 years and/or have never been to MOVE.
